Are you organized enough?

It's so easy to get sidetracked by a ringing phone, emails, an employee walking into your office… Phew, all these distractions can pull us away from our goals. I often see this problem with some of my clients. So, I've developed some tools to help you keep your objectives in focus.

Keep your goals clearly in mind

First, it seems essential to me to know where we are going with our company or organization! What are its objectives? short, medium and long termI talk about this extensively in this article Or this one .

What are your objectives? this weekI often notice that managers frequently work on emergencies. So, at the end of the week, they're completely drained and feel like they haven't accomplished anything! By keeping your objectives in mind, I guarantee you'll want to check off your accomplishments as you go.

Here is a working tool that you can use during your group meetings: Form – Weekly Group Priorities. I find it very useful to bring the entire administrative team together once a week or every two weeks. It's an excellent way to maintain good communication and keep the company's priorities in mind. Take this opportunity to highlight the team's successes and share good news!

Is your workspace inviting?

My most productive days are the ones when my desk is clear and tidy. I have my weekly goals clearly visible. I get a ton of work done on those days! When my desk is a mess with lots of papers, I feel like I don't know where to start. I also feel like there's so much to do that I'll never get it all done. So, before you get discouraged by your pile of work, take the time to clear your desk.

There's nothing wrong with closing the door for an hour or two to get into your own little world. You're likely to be much more productive. Setting aside a specific time each day for employee meetings will be appreciated.

Can your colleagues work while you're away?

If your colleagues aren't efficient because you have all the information in your head, that's not efficient at all. Being well-organized also means that even when you're not there, the world keeps turning! What can you do to lighten your workload?

  • Having a file for each of the buildings under your direction, including a clear and written housekeeping estimate for each of them; You could also include work routes for each of the employees working in the building, building plans, etc.
  • Having a complete employee file (full contact details, CV, skills, training received, criminal investigation results and various characteristics important to your organization.
  • The warehouse for products, accessories and equipment It should be well organized so that everyone can find what they need. Inventory should be taken regularly to anticipate needs. This doesn't need to be done by you.
  • Establish a list of authorized accessory products and equipment It seems essential to me to prevent each employee from ordering whatever they want, at any price. Furthermore, those authorized should have received their authorization only after their effectiveness has been verified.

Many entrepreneurs hire office staff "because they have no choice." In the heat of the moment, a candidate applies, they know they're not a good fit, but there's no time to look further, so they hire them anyway. Fine, but don't expect them to meet all your needs… Or perhaps your industry is evolving and your current employees no longer meet the requirements?
