Yet, the maintenance of cleaning equipment is by far the most widespread problem in the buildings we visit, across all sectors—offices, schools, residences, clinics, factories, shops. We invest in the right products, we train people on the right methods, we buy quality equipment… and then we put away a soiled mop, still wet, head in the bucket, only to take it out again the next morning just as it was.

Indeed, a mop left in this state becomes a breeding ground for germs within hours. It is then dragged across all your floors. A cloth reused from one room to another carries what it picked up in the first. This is why the result is not neutral: more contamination has been spread than removed, all while believing we are doing a good job.

But that's precisely what makes the problem so persistent: it's invisible, and it gives a false sense of security. The floor looks clean. But the smell always gets the better of you in the end.

Maintaining cleaning equipment begins with changing the look

You will probably recognize one or two of these situations:

There mop head left to soak in the grey water of the bucket until the next day

THE bucket filled with water "for tomorrow morning"«, with the handle dipping into it

THE microfiber cloths rinsed in the sink and hung on the edge of the trolley, never machine washed

THE Dirty laundry placed in the same bin that the clean linens, "just enough time to finish the floor"«

There spray bottle refilled over the old product residue, without ever rinsing the container

THE broom put away bristles down, leaning against the wall, which deforms and retains its strands

THE vacuum cleaner filter Never cleaned since purchase, and the bag emptied once it was completely full.

THE scrubber recovery tank Empty but left closed, smelling of mud the next day

THE soiled gloves left lying around, If everyone lets themselves be dragged along like this, imagine the state of the place.

Each of these actions takes less than two minutes to correct. And each one, repeated every evening, cancels out part of the day's work.

No other equipment has such a wide contact area

In reality, this material touches all Your surfaces, every day. No other equipment in your building has such extensive and repeated contact. A countertop touches whatever is placed on it; a microfiber cloth touches the countertop, the door handle, the light switch, the next desk, and the telephone. If there's one object that deserves rigorous treatment, it's this one.

What should be washed at the end of each shift

Here is the list, to be treated in the same way as any other equipment:

Wet mops, mop heads, and dry mops

Cloths and microfibers

Buckets, presses and trolleys

Brushes, squeegees, brooms, dustpans and scrapers

Toilet brushes and their holder

Spray bottles and their triggers

Reusable gloves, including the lining — the CNESST also reminds us that the employer must provide PPE free of charge and inform their staff about its maintenance

Vacuum cleaners, floor scrubbers and polishers — filters, bags, tanks, brushes and squeegees

How to wash cleaning equipment

First, the maintenance of cleaning equipment follows exactly the same logic as any other surface: remove the bulk of the dirt, wash, rinse, dry. There are no shortcuts.

Remove the residue dry — hair, fibers, clumped dust, debris stuck between the bristles or in the fringes.

Rinse with lukewarm water. If the water is too hot, it sets certain stains and damages synthetic fibers.

Wash with detergent, rubbing gently. A brush should be washed with another brush. Soaking alone does not dislodge what is stuck at the base of the bristles — and that is precisely where it accumulates.

Rinse until the foam and the slippery feeling have completely disappeared.

Disinfect if the area requires it (care settings, daycare centers, bathrooms, kitchens), respecting the concentration and contact time specified in the technical data sheet. If the dilution notations cause confusion within your team, here's how to read them correctly.

Dry completely before storing. Residual moisture cancels out everything else — it is moisture, and not dirt, that explains bad smells.

The special case of textiles

Textiles, however, follow a separate process. Mops and microfibers should be machine-washed at the manufacturer's recommended temperature, without fabric softener—fabric softener coats the fibers and destroys precisely what makes a microfiber valuable: its ability to absorb moisture. And above all, apply a strict separation between clean and dirty. A bin of dirty laundry next to a bin of clean laundry is a recipe for cross-contamination.

Storage, the second pillar of cleaning equipment maintenance

Next comes storage, too often forgotten. A perfectly washed tool, then placed on the floor or thrown wet into a closed bucket, loses all the benefit of the cleaning. Storage is part of cleaning, not aftercare.

The rules are simple:

Suspended, never on the ground, never upside down in a bucket

Drained and aired, in a clean, ventilated and dry room

Each tool has a designated place., ideally with a silhouette or a label

Separated by area, according to your color code

The buckets were emptied, rinsed, and stored upside down., never filled with water "for tomorrow"«

A wall mount costs a few tens of dollars. Yet it's probably the best cost-benefit ratio of your entire maintenance program.

Give your team the facilities to do it

Before blaming a team that neglects the maintenance of cleaning equipment, ask yourself the real question: Does she even have the means? In many buildings, the maintenance room is nothing more than a cupboard without water, shelves, or hooks. People are then asked to deliver results that the layout makes impossible.

A functioning premises include at a minimum:

A service sink at a good height, Wide and deep enough to wash a mop head or brush without soaking the entire wall — with hot and cold water, and ideally a hose or shower head

A washer and a dryer on site, or otherwise a external washing system Commercial laundry, textile rental and maintenance service, or an agreement with another establishment within the same group. What matters is that someone actually washes the textiles in a washing machine at set intervals. Without either, the microfibers will simply be rinsed in the sink, period.

Wall brackets and hooks for hanging brooms, mops, squeegees and brushes, bristles in the air

The shelving For products, bottles and clean linens, never leave anything on the floor

A drip tray : grid, tray or section of floor with drain where buckets dry upside down

A physical separation of clean and dirty — two bins, two shelves, two identified zones

A ventilation sufficient for the room to dry between shifts, and lighting that allows you to see what you're doing

An electrical outlet to recharge motorized equipment

What it costs, and what it brings in

The investment is modest: a service sink, a few wall brackets, and two shelves cost less than a year's worth of prematurely replaced linens. As a bonus, a clean and organized space is easily inspected and speaks volumes about your service to any customer or manager who glances at it.

If your premises are poorly designed or too small, this is exactly the kind of thing we assess during a specialist consultation : what is missing, what needs to be added, and where to place it.

The color code: what is it really for?

The color code is not a visual embellishment.’INSPQ As stated in its hygiene and sanitation guidelines, cleaning should always be done from the cleanest area to the dirtiest, and equipment should never be moved in the opposite direction. This is the only reliable way to prevent a cloth used in a washbasin from ending up on a kitchenette counter.

That said, there is no universal standard dictating a specific color for a specific area—each organization establishes its own. What matters is that the code is written, displayed and understood by all, including new employees and Saturday night replacements. A product and technique chart displayed in the maintenance room fix this in a lasting way, much better than an explanation given once at the time of hiring.

In the food industry, an additional requirement is required: accessories must be food grade, with sealed bristles that do not detach in the product.

Maintenance of motorized cleaning equipment

Furthermore, vacuum cleaners, floor scrubbers and polishers suffer from the same blind spot, with a much higher bill as a result.

Vacuum cleaners The bag is changed before it becomes full, the filters are cleaned or replaced according to the recommended frequency, the rotating brush is cleared of hair and fibers, and the hose is inspected. A vacuum cleaner with a clogged filter releases what it has just vacuumed back into the air.

Floor scrubbers : recovery tank emptied, rinsed and left open To dry, filter cleaned, squeegee wiped and checked, brushes removed and rinsed, batteries charged according to the procedure.

All equipment : a maintenance log, a frequency, a responsible person.

In short, it's basic preventative maintenance. And that's precisely what makes the difference between a machine that lasts seven years and one that lasts two.

In fact, it's such an important topic that we've created a dedicated training course on it: Preventive maintenance of household cleaning equipment, A new addition to our calendar. It covers how to maintain vacuum cleaners, floor scrubbers, and polishers on a daily basis, what to check and how often, how to recognize signs of wear before a breakdown, and how to create a reliable maintenance log. In other words: how to stop replacing machines that could have lasted twice as long.

When should a cleaning tool be replaced?

Finally, there comes a point when washing alone is no longer enough. A brush with crushed, split, or encrusted bristles will never be clean again, no matter how hard you try. A microfiber cloth that no longer glides or picks up dirt has reached the end of its lifespan. A flattened mop head no longer holds anything. A cracked handle, a nicked squeegee seal, a cracked bucket: these are breeding grounds for microorganisms, protected from anything you apply to them.

The rule is simple: If a tool can no longer be made visually clean, it is finished.

Therefore, schedule a monthly equipment inspection, with a designated person in charge and a small replacement budget. A microfiber cloth costs a few dollars. A customer complaint, a job rework, or a lost contract costs infinitely more.

Who is responsible for maintaining the cleaning equipment?

However, this is often where things get stuck. Equipment maintenance belongs to everyone, therefore to no one. The end of the shift arrives, people are tired, and the equipment ends up piled up in a corner of the room.

Fortunately, three things resolve the situation:

Name it in the task. Equipment maintenance isn't something you do "if there's time left." It's the final step in the routine, part of the procedure and scheduled within the allotted time. If your work schedule doesn't reserve those minutes, they'll never exist.

Make it visible. A well-designed space can be checked at a glance. It's more effective than any checklist.

Explain the reason why. A person who understands that a mop left lying around smells bad and redistributes dirt will put their mop away. A person who has simply been told to put it away will forget as soon as they are in a hurry.

In short, maintaining cleaning equipment is not a minor detail at the end of a shift: your program is never worth more than the equipment used to execute it. You can have the best products on the market and a motivated team, but if the tools are dirty, the result will be negative.

Read also

Food washing and sanitation: the 8 steps of the cycle — for factories and kitchens, the complete sequence from dry collection to HACCP records

My favorite Vileda Professional accessories — equipment designed to last and be washable

How to dilute washing products — with a table to display

Basic product and technical charter

Choosing the right washing gloves

Managing a housekeeping team: 9 best practices

Need to upgrade your equipment — or train your team?

OUR shop offers color-coded professional mops, microfibers, brushes and accessories, as well as the storage stands that go with them.

And if you want your employees to understand the reason behind each of these actions, two training courses cover the subject in depth, in French, Spanish or English:

Preventive maintenance of household cleaning equipment — our new product, entirely dedicated to the maintenance and lifespan of your machines

Commercial and industrial cleaning — basic methods, color coding, and proper use of equipment

👉 Consult the training calendar

The maintenance of cleaning equipment is based on a fundamental principle: you can't wash with dirty things.
